This Privacy Policy explains what personal data NAPCY (“NAPCY”, “we”, “us”) collects through www.napcy.in, why we collect it, how it is stored and shared, and the rights you have. NAPCY is based in Hyderabad, Telangana, India. We handle personal data in line with Indian law, including the Digital Personal Data Protection Act, 2023 (“DPDP Act”) and the Information Technology Act, 2000.
1. What we collect
Contact form
When you use the form on our Contact page we collect your name, email address, and, if you provide them, your phone number, company, area of interest and message.
Job applications
When you apply through our application form we collect:
- Basic information: the role you are applying for, salutation, first and last name, email, mobile number and an optional alternate phone number.
- Address: street, city, state/province, postal code and country.
- Professional details: current job title and employer, total experience, highest qualification, skills, notice period, current and expected salary, the modes of hire you are interested in (contract, freelance, permanent) and any additional information you add.
- Education and experience: the institutions, degrees, employers, job titles, dates and summaries you enter.
- Links and documents: your LinkedIn profile URL (optional), your resume, and any cover letter or other documents you upload.
Please do not include sensitive information that isn't needed for a job application (for example, health details, religion, or government ID numbers) in your documents.
WhatsApp, email and phone
If you contact us by WhatsApp, email or phone, we receive the details and messages you choose to share.
Technical data
Like most websites, our hosting provider records standard server logs (such as IP address, browser type, the page requested and the time) to operate and secure the site. For security, our application handler also keeps a short-lived, one-way hashed form of your IP address to limit repeated submissions. We do not use advertising or analytics cookies.
2. How we use it
- To reply to your enquiry and discuss software or talent services.
- To review your application, assess your fit for the role you applied for, contact you about it and, if you agree, consider you for similar roles.
- To keep our website and forms secure and prevent spam and abuse.
- To meet our legal obligations.
We do not sell your personal data and we do not use it for advertising.
3. Consent and lawful use
We process the data you submit on the basis of your consent and for the specific purpose you provided it for, as permitted under the DPDP Act. When you apply for a job you confirm your consent with the checkbox on the form. You can withdraw your consent at any time by emailing hr@napcy.in; this does not affect processing that took place before you withdrew it, but we may no longer be able to consider your application.
4. Who we share it with
We share personal data only as needed to run this website and our recruitment process:
- Hostinger — hosts this website and stores the application files submitted through it.
- Web3Forms — a form-delivery service that forwards contact-form messages and the text of job applications (including secure, expiring links to your documents) to our inbox by email.
- Our email provider — receives and stores the emails these forms generate.
- Hiring organisations — where a role is with a client organisation that we recruit for, we may share your application with that organisation only for the purpose of that role.
- Authorities — where required by law.
These providers may process data on servers outside India. We use them only to deliver the services described here.
5. How it is delivered and stored
The site uses HTTPS encryption. When you submit an application, our server-side handler checks your files (only PDF, DOC and DOCX, up to 5 MB each), renames them randomly and stores the application and documents in a private folder on our hosting server that cannot be browsed from the web. Your documents are not attached to any email: our recruitment team receives the application details by email together with secure, signed links to your documents that expire after 30 days. Each download through these links is logged. Only authorised NAPCY staff can access these emails and files.
6. How long we keep it
- Contact enquiries: for as long as needed to respond and follow up, and no longer than 24 months after our last communication.
- Applications and documents: for up to 12 months after our last contact with you, so we can consider you for the role and similar openings, after which we delete them — unless you ask us to delete them sooner or agree to a longer period.
- Server logs and anti-spam data: for a short period as set by our hosting provider and our security tooling.
7. Your rights
Under the DPDP Act you have the right to:
- ask for a summary of the personal data we hold about you and how we use it;
- ask us to correct, complete or update it;
- ask us to erase it, unless we must keep it to comply with the law;
- withdraw your consent at any time;
- nominate another person to exercise your rights in the event of your death or incapacity; and
- raise a grievance with us.
To make a request or raise a grievance, email hr@napcy.in with the subject “Privacy request”. We may need to verify your identity before acting on a request, and we will respond as soon as reasonably possible. If you are not satisfied with our response, you may complain to the Data Protection Board of India.
8. Cookies and third-party content
This website does not set advertising or analytics cookies. Fonts and images are served from our own website. The map on our Contact page is only loaded from Google Maps if you click “Show map”. If you contact us via WhatsApp, LinkedIn or Google Maps, those services' own privacy policies apply.
9. Children
This website is not directed at children. Job applicants must be at least 18 years old.
10. Changes and contact
We may update this policy from time to time. The “Last updated” date at the top shows when it last changed. Questions? Email hr@napcy.in or call +91 84660 13024.
